Purchase Coordinator (Angola)

Duties for a Import Purchase Coordinator:- 

Follow up with the sales head for their requirements of products & spare parts - receive their purchase inquiry. 
Contact different suppliers to get their offers, negotiate their prices and payment conditions - Issue purchase orders 
Follow up with the suppliers to get the order confirmation, check all the details mentioned and determine the delivery date 
Execute shipment planning. 
Follow up on the suppliers payment by sending the due invoices to the Accounting Department keeping banking coordinators in loop. 
Send copy of the bank transfer telex to the supplier 
Follow up with the supplier to secure receiving the original documents 
Deliver the documents to import logistics department and follow up with them till the arrival of the goods 
Deliver copy of the purchase order and the packing list to the store keeper upon the arrival of the goods 
Insure the arrival of goods in a condition identical to the ordered items . 
Evaluate suppliers for each shipment 
Notifying Suppliers on short-shipped, over supplied and faulty items received and taking the necessary action ( Inform to Insurance agency or supplier ). 
Maintain history records for all purchased items 
Monitor shipments and Customs clearance. update status of cargo , resolve shipment issues, and possess the ability to determine when to elevate to management for resolution 
Maintain Import and Export document files in accordance with govt. regulations and Company policy 
Keep up with ever changing Government Policies and Tariffs on Importation of Goods 
Reporting to the Import Manager 

Hours 
Hours of work will be determined by work levels and requirements of same to ensure all responsibilities are met. 
Income 
Salary is negotiable depending on his caliber and capacity. 
All expenses such as Food / Accommodation / Travel / Visa ( if required) / Laundry / Light / Water will be borne by the company. (Zero out of Pocket Expenses) 

Skills and knowledge 
Good negotiating skills 
Ability to gather, analyzes, and display data in appropriate format and keep accurate records. 
Competent in the use of Excel, Word and database applications in a Windows Environment. 
Working knowledge on ERP Software. 
Must be able to communicate effectively in written form. 
Speaking to others to convey information effectively. 
Ability to work under pressure while multi-tasking and managing priorities effectively. 
Job requires paying attention to detail and thorough in completing work tasks. 
Possess the desire to provide excellent follow up and solutions. 
Ability to interact with both co-workers and suppliers in a courteous and professional manner. 
Ability to work independently with little supervisory directions and as a team player. 
Ability to work productively with other staff in the workplace. 
Ability to apply common sense understanding to carry out instructions furnished in written, oral, and diagram form. 
Must have professional phone skills, etiquette, and excellent communication skills. 
Exceptional follow-up and follow-through skills. 
Must be a self-starter, extremely organized and detail oriented with strong commitment to accuracy. 
Must have good judgment and problem solving skills.. 
Must be dependable and punctual. 
Familiarity ( or ability to grasp ) with international documentation for custom clearing process 
Fluency in English is must . 
Ability to resolve discrepancies and, where possible, determine and implement process to prevent recurrence 
Ability to perform administrative tasks: copying, filing, faxing, scanning etc 
Ability to maintain high level of accuracy concerning customs procedures and avoiding penalties 

Requirements 
High School Diploma with 2-years of experience or Bachelors Degree in related field, or an equivalent combination of education and experience sufficient to successfully perform the responsibilities of the job 

Previous experience working with Customs brokers, Importers or freight forwarding company will be preferred 

Basic Salary USD 450 / Month (All expenses such as Food / Accommodation / Travel / Visa ( if required) / Laundry / Light / Water will be borne by the company. (zero out of Pocket Expenses)
